1.1. Introduction
HPRC Scanner (or "Holistic Progress Report Card Scanner"), hereinafter referred to as "the App", is a productivity tool developed by MH Innovix to assist teachers in digitizing handwritten marks. This Privacy Policy explains how we handle your information. By using the App, you agree to the collection and use of information in accordance with this policy.
1.2. No Government Affiliation
IMPORTANT: This App is an independent project. It is NOT affiliated, associated, authorized, endorsed by, or in any way officially connected with the West Bengal Board of Primary Education (WBBPE), the Banglar Shiksha Portal, or the Government of West Bengal. Any terminology used is solely for descriptive purposes.
1.3. Data Collection & Storage (Offline First)
- Local Storage: The App operates on an "Offline-First" basis. All scanned student data, marks, and generated Excel files are stored locally on your device's internal storage.
- No Private Server: We (MH Innovix) do not collect, store, or upload your student data to any private cloud server. You retain full ownership of your data.
- Data Collection for App Improvement & Notifications: To improve user experience, fix bugs, and send important updates, the App collects anonymous usage data (such as the time spent on specific pages, device ID, and non-identifiable Android versions). This data is strictly used for analytics and push notifications (via Firebase Cloud Messaging). We do not sell or share this data with any third-party marketing agencies.
1.4. Image Processing & AI (Google Gemini)
We use Google's Gemini API for Optical Character Recognition (OCR).
- Data Transmission: When you scan a document, the image is transmitted securely to Google's servers strictly for text extraction.
- Ephemeral Processing: Google processes the image to extract text and returns the data. We do not retain these images on any server.
- User Consent: By using the scanning feature, you acknowledge and agree that data processing is performed by Google's AI technology.
- Google's Policies: Your use of the AI feature is also subject to Google's Privacy Policy and Google's Terms of Service.
- Temporary API Logging for Debugging: To monitor app performance, identify AI reading errors, and improve scanning accuracy, temporary logs of API requests (which may include the scanned image and extracted text) are generated within our secure Google Cloud Developer Console. These logs are strictly accessible ONLY by the authorized developer for troubleshooting purposes, are kept entirely confidential, and are subject to Google Cloud's standard retention and deletion policies. We never use this logged data for any public use, profiling, or third-party sharing.
1.5. Third-Party Services
The App uses the following third-party services that may collect information used to identify your device (but not student data):
- Google Play Services
- Google Firebase Crashlytics: Used solely for identifying app crashes and improving stability. It collects device state information (e.g., model, OS version) at the time of a crash.
- Google Firebase Cloud Messaging: Used to send push notifications regarding app updates and support replies.
- Telegram Bot API: Used securely as an internal developer tool to receive anonymous crash logs, analytics, and customer support queries. Data sent via this service is strictly for troubleshooting and developer communication, and is not shared with any public channels or third-party marketers.
1.6. Account, Sync & Monetization (Added)
- Account Registration & Email Login: The App requires email authentication to securely log you in. This ensures your app configurations and premium settings can be restored across devices.
- Cloud Sync & Backup: While student data remains local, basic profile settings and template configurations are backed up securely to our Realtime Database to prevent loss of user preferences.
- Advertisements (AdMob): The free version of the App uses Google AdMob to display personalized or non-personalized ads. AdMob may collect data like device ID to serve these ads.
- Premium Subscriptions: Users can purchase subscriptions via Google Play Billing for an ad-free experience and advanced limits. Payment and refund policies are handled strictly by the Google Play Store.
2.1. Strict Prohibition on Sensitive & Government IDs
The scanning of any Government-issued Identity Cards, including but not limited to Aadhaar Cards, Voter IDs, PAN Cards, Passports, or any other documents containing highly confidential personal identification numbers, is STRICTLY PROHIBITED.
- Mandatory Masking: If a page or document contains fields for sensitive identification numbers, the user MUST ensure it is physically covered (e.g., using a piece of paper, pen, or finger) or excluded by cropping the image before scanning.
- Liability: MH Innovix bears absolutely no liability for any data leaks, privacy violations, or legal consequences arising from a user's failure to mask or exclude sensitive personal identification numbers before processing them through the App.
2.2. Accuracy of Data
The App uses Artificial Intelligence (AI) to read handwriting. While we strive for accuracy, AI is not perfect and may misinterpret digits (e.g., reading '30' as '80').
- User Responsibility: It is the user's sole responsibility to manually verify all extracted data against the original physical register before uploading it to any official portal.
2.3. User Conduct
You agree not to use the App for any unlawful purpose or in any way that could harm the reputation of the developer or any government entity.
2.4. Confidentiality & Authority to Process Data
- User Responsibility: By using the scanning feature, you represent and warrant that you have the full legal authority to process the data contained in the documents (e.g., student marks, names).
- Confidential Data: You agree NOT to scan any documents classified as "Confidential," "Secret," or "Restricted" by the Government or School Board if sending such data to a cloud-based AI processor (like Google Gemini) violates your departmental rules.
- Recommendation for 100% Anonymity: For maximum privacy, we strongly suggest you CROP OUT the top header row (containing Student Name, Roll, Class, Section, Academic Year, Aadhaar No) before uploading the image. If you do this, NO personal identity will be processed by the AI. However, if you choose to scan the full page including student names for your convenience, you assume full responsibility for the data processing decision.
- No Liability for Data Leaks: MH Innovix merely provides the tool for digitization. We shall not be held liable for any unauthorized disclosure of student results or data caused by the user's decision to process such documents via third-party AI services before official publication.
2.5. Experimental Auto-Fill Feature & Portal Liability
The App provides an experimental JavaScript-based "Auto-Fill" feature to assist in entering locally saved data (credentials and marks) into the portal.
- Portal Login & Credential Security: When you access the official SMS Portal through the App, you are interacting directly with the government website via a secure in-app browser. The App does NOT read, record, steal, or transmit your portal login credentials (Username/Password) to our servers or any third party. Any credentials saved for the auto-fill feature remain strictly encrypted within your device's local storage.
- Verification is Mandatory: The auto-fill feature is provided for convenience. The user MUST review and verify all auto-filled data on the screen before manually clicking the "Save" or "Submit" button on the portal.
- Portal Rules & Anti-Bot Systems: Using automation scripts may trigger the portal's security systems. MH Innovix is NOT responsible for any temporary IP blocks, account suspensions, or data rejection by the portal resulting from the use of this feature.
- UI Changes: Because the portal is managed by a third party, any changes to their website's code may cause the auto-fill feature to break or stop working without notice.
2.6. Third-Party Terms (Google)
The App integrates Google Gemini API for text recognition. By using this App, you agree to comply with Google’s Generative AI Prohibited Use Policy. You must not use the App to generate or process content that is violent, sexually explicit, hate speech, or otherwise violates Google's policies.
3.1. "As Is" Basis
The Service is provided on an "AS IS" and "AS AVAILABLE" basis. MH Innovix makes no representations or warranties of any kind, express or implied, regarding the accuracy, reliability, or availability of the App.
3.2. Limitation of Liability
To the maximum extent permitted by applicable law, MH Innovix shall not be liable for:
- Any indirect, incidental, or consequential damages.
- Loss of data due to device failure, app uninstallation, or user error.
- Rejection of data by government portals due to formatting or data entry errors.
- Any legal action resulting from the misuse of the App by the user.
We may update our Privacy Policy and Terms from time to time. Thus, you are advised to review this page periodically for any changes. Continued use of the App signifies your acceptance of any updates.
